Vietnam Plywood Export — Terms of Trade

Payment Terms

Standard: 30% TT + 70% TT

30% Telegraphic Transfer (TT) advance deposit confirms the order and initiates production. The remaining 70% TT is due against a copy of the Bill of Lading, before release of original shipping documents.

LC at Sight

Letter of Credit at Sight is available for established buyers or large orders. LC must be issued by a top-tier international bank and confirmed before production begins. Additional bank charges apply.

Note: All payments in USD. Bank wire transfer only. No PayPal, credit card, or crypto accepted for container orders.

Incoterms

FOB — Free On Board

Default

Hai Phong Port, Vietnam

Default term. HCPLY delivers goods to the port and loads onto your nominated vessel. Buyer arranges and pays freight and insurance from that point.

CFR — Cost and Freight

On Request

Your destination port

HCPLY arranges and pays freight to destination port. Buyer arranges insurance. Risk transfers at loading in Hai Phong.

CIF — Cost, Insurance & Freight

On Request

Your destination port

HCPLY arranges freight and minimum insurance to destination port. Most straightforward for first-time buyers.

Minimum Order Quantity

1 × 20GP container — minimum order for any product. Approximately 20–22 CBM of plywood.
Mixed containers welcome — combine different plywood types, sizes, or thicknesses in one container.
Sample orders — under 1 CBM available by air freight. Contact us for sample pricing.

Dispute Resolution

Step 1 — Direct Resolution

Both parties attempt to resolve the dispute amicably within 30 days of written notification.

Step 2 — Mediation

If unresolved, mediation through a mutually agreed mediator within a further 30 days.

Step 3 — Arbitration

Final binding arbitration under VIAC (Vietnam International Arbitration Centre), Hanoi. English language proceedings.

What is the minimum order quantity (MOQ) for Vietnam plywood from HCPLY?
The minimum order is 1×20GP container. Mixed containers (multiple products or sizes) are welcome — we can combine different plywood types to fill a 20GP or 40HC container. Sample orders under 1 CBM can be arranged by air freight for evaluation.
What payment terms does HCPLY accept?
Standard terms: 30% TT (Telegraphic Transfer) advance deposit, 70% TT against copy of Bill of Lading. Letter of Credit (LC at Sight) is available for established buyers. We do not accept PayPal or credit card for B2B container orders.
What Incoterms does HCPLY offer?
Our default term is FOB Hai Phong Port, Vietnam. We also offer CFR (Cost and Freight) and CIF (Cost, Insurance, and Freight) upon request. DAP/DDP is not available for most destinations. Confirm your preferred Incoterm in your RFQ.
How long does production and shipping take?
Standard production lead time is 15–25 working days after receipt of deposit, depending on product type and order volume. Transit time from Hai Phong Port to destination port varies: India 10–15 days, Middle East 15–20 days, Europe 25–35 days, US East Coast 30–40 days.
Can I inspect goods before shipment?
Yes. Pre-shipment inspection by third-party inspectors (SGS, Bureau Veritas, or buyer-nominated inspectors) is welcome. Inspection cost is borne by the buyer. We provide factory access and coordinate with your inspector for a smooth visit.
What documents are included with each shipment?
Standard documents: Commercial Invoice, Packing List, Bill of Lading, Certificate of Origin (CO Form D or Form B — ASEAN/preferential or standard), Phytosanitary Certificate, and Fumigation Certificate. Additional documents (FSC, test reports, CARB compliance, BIS) are available on request.
How are quality disputes handled?
Quality claims must be filed within 30 days of container arrival with photographic evidence. Disputes not resolved within 60 days by mutual agreement are referred to arbitration under VIAC (Vietnam International Arbitration Centre). See our Return Policy page for full details.
